    This morning at work was sucky for a couple of reasons.

    I only had to reserve a small amount of spots this morning, but when I got to work this morning, there were already a couple of cars parked in visitor parking. Normally it would not be a big deal, but with the other events, which were not on the Outlook calendar as well as the university soccer team which was told to park in visitor parking, it was chaotic this morning.

    First event not on the Outlook calendar:

    Several people arrived for a class taught by the police academy. Luckily when these people arrived there were spots available, but more arrived later on when there were no available spots. More on this later in this post. One guy who was here for that class knocked on the visitor parking booth window this morning & asked me where he can park for that class. He told me he parked at the metered lot across the street. I told him he could park in visitor parking. He leaves, & then he drives up to the booth window. I tell him he needs to get a token to exit. He was not happy. Here is what happened.

    me:"You will have to get a token to exit from the dept. having the class. A token is $5.00 each. If you do not get a token, you will have to buy one for $5.00"
    guy: "But I was told that parking is free, & I paid $300.00 for this class."
    me: "I'm sorry, but I do not know what the parking arrangements are. You will have to ask whoever is over the event this. Make sure whoever is over the event gives you a token to exit because you cannot exit with one."
    guy: "I will make sure they give me one."

    More people arrived for this class when there were non-reserved spots available. I told everyone to make sure the person who is over this class gives you a token because you cannot exit without one.

    2nd event not on the Outlook calendar:

    No problems

    University soccer team players:

    The first one to arrive told me that arrangements were made through campus police for them to park in visitor parking through the end of the weekend for an out of town tournament. I was unaware of this, & so I called the parking office to confirm. "Nancy", who works in the parking office, told me that they were not notified of this, but if the soccer player wants to park, he has to get a token from the dept. to exit. Campus police cannot raise the exit gate for him after he returns from the tournament. So I told the guy this. More arrived after him, & luckily there were non-reserved spots available.

    At one point there were only enough spots for what had to be reserved according to the Outlook calendar. I put the big white sign stating visitor parking is closed for a special event in front of the entrance gate, but because it was very windy outside, the sign fell down. So I called the parking office to have the full sign turned on. Good thing it was turned on because it got crazy after that. I placed the sign in front of the visitor parking booth, & it did not fall down.

    The first guy here for the police academy class arrives when there were no available spots. Here is what happened.

    me: "Hi, how may I help you?"
    guy: "I was told by officer Jones I could park in the garage. I am here for the police academy class."
    me: "I'm sorry, but the garage is closed for other events, & I have no available spots."
    guy: "But I just left the metered lot!! & Jim Smith, who is teaching the class, told me I have to park in visitor parking!!"
    me: "I'm sorry, but every parking spot has already been reserved & already paid for, & so I have no available spots."
    guy: "But I left the metered lot to park here!!"
    me: "I'm sorry, but all I can suggest is that Jim Smith calls the parking office to see what they can do for you."
    guy: "But I left the metered lot to park here!! & the guy behind me is probably here for the same class!!"
    me: I repeat myself *adding "I understand that"*
    guy: repeats himself
    me: "I'm sorry, but that is all I can do."
    guy: "Ok...can you just raise the gate so I can go back to the metered lot & park there."

    I raise the gate, & the car behind him pulls up to the booth window. I tell him the same thing I told the guy in front of him. He looks annoyed, but he does not get fussy like the other guy did.

    Campus police call me & ask me if the garage is full. I saw a car leave, & so I told them I would check & that I might have one available. I walked into the garage to do a space count. The car that left was a handicapped customer, & there were only enough spots for what had to be reserved. As I was walking back to the visitor parking booth I saw a guy waiting outside the door. Here is what happened.

    guy: "We are here for the police academy training class, & we were told by campus police we could park in visitor parking."

    I saw another guy waiting in another car.

    me:"I'm sorry, but there are only enough parking spots for what is on the event list, & so I have no available spots."
    guy: "But we are guests here for an event, the police academy training class, & we were told by campus police we could park."
    me: "I'm sorry, but all I can suggest is that you speak to whoever is over the event & have them call the parking office to see what they can do for you."
    guy: "But campus police told us we could park."
    me: "I'm sorry, but according to the Outlook calendar, parking arrangements were not made for your class, & so all I can suggest is that whoever is over the event calls the parking office to see what they can do for you."
    guy: "So what do we do?"
    me: "I will have to call campus police."

    I get back inside the booth, & I call campus police to let them know that there are only enough spots for what is on the Outlook calendar & that parking arrangements were not made for the police academy class. They say ok.

    The same guy walks up to the booth window. Here is what happened.

    guy: "So what did campus poice say?"
    me: *making this up*:"They said that if there are only enough spots for what is on the calendar, then there are no available spots to park in."
    guy: "So can we park?"
    me: "I'm sorry, but if every spot is already reserved for other guests & already paid for, then I have no available spots."
    guy:" So what are you telling us?"
    me: "You will have to find other parking."
    guy: "Can we park in there?" *points to the faculty/staff garage*
    me: "I'm sorry, but that is the faculty/staff garage."

    He walks back to his car, gets in, & drives up to the booth window. I raise the gate for both of them to exit, & he drives up to the faculty/staff garage entrance. He presses the call button & speaks at the call box. I watch to see what happens. Eventually he backs up & exits. The other guy, who was waiting next to the main bldg., exits as well.

    I am glad tomorrow is Friday.

    Ugh.

    So nice of the people with special events to make any arrangements at all for their people to park.

      even better that these are future officers of the law. what part of 'no space available' wasn't clear. oh, the no part...silly me.

        The police academy class was a 2 day class

        They returned today. Some were not in a good mood due to yesterday's problems.
        One guy had an attitude the minute I opened the visitor parking booth window. I only did that because he rolled down his window. He said "police told me I could park for the police academy class." I just raised the gate for him. I said nothing to him.

        Then around 12 p.m. I noticed that the visitor parking garage exit gate was up. Then I saw one of the guests here for that class exit the garage. Then the phone inside the visitor parking booth rang. I noticed on this display the extension for the parking office. So I said "Visitor parking booth, how may I help you?" "Nancy" said it's me. Then she asked me if I transferred the call to her. I told her that the phone inside the rang, & so I answered it. While I was talking to her I noticed the exit gate go up for another guest here for that training class. So I told "Nancy" what was going on.

          Sounds stressful, but I think you handled it tactfully and professionally. I especially like where you suggested the guest have their event leader contact the parking office. You are a wall of polite indifference, which in this case is a good thing. Otherwise they would've whined and cried even louder and forced you to call the parking office over and over and over...

            Update

            The secretary/admin. asst. to Jim Smith, who taught the 2 day class, arrived to park in Visitor parking this morning. She normally does not do this since the police academy is located inside a different bldg. I wonder if she had a meeting with the Parking office staff, including "Andrea", who is the Director of Parking & Transportation. Last Friday I saw several guests here for that class press the call button at the exit gate, speak to the call box, & the exit gate went up. That told me the police academy did not have any tokens to give to those guests. I was on the phone with "Nancy", who works at the parking office, at that time. The phone inside the Visitor parking booth rang, & I noticed on the display the extension for the Parking office. I answered it, & "Nancy" said "it's me." She asked me if I had transferred the call to her. I told her the phone inside the Visitor parking booth rang, & so I answered it. I was on the phone with her when this was happening, & so I let her know what was happening.

            Also today I saw the Facilities Management Director as well as other Facilities Management employees inside Visitor parking. "Andrea" wants to add a 2nd level to that garage. I wonder if that was the reason why they were inside that garage.

            If there was a meeting at the Parking office, I wonder what was discussed. I wish I was a fly on the wall during the meeting.
